REPSG used MAS 90 for accounting, prior to switching to Deltek Vision. The company was at a point in their growth that a comprehensive business management system was needed. They desired to have a system that integrated their accounting, project management and marketing data into a single database. With MAS 90, everyday tasks such as payroll, billing, time capture, and purchase orders were time consuming manual tasks. Additionally, project managers did not have real time access to information which meant involving accounting to supply information. An abundance of information was kept manually on multiple spreadsheets and historical data was not available.
Since the billing was manual, it took on average one hour to generate one client invoice since back-up information had to be hand collected. Accounts receivable was up to 90 days outstanding and was impacting the company’s cash flow. Payroll took an average 4-6 hours to run since employee time was not readily available. Additionally, business development efforts were important to the company’s growth so a system that would easily keep track of opportunities and proposals was required.
REPSG extensively reviewed Deltek Vision, MAS 200 and Timberline to find the solution that would best meet their needs. They engaged with Jewell & Associates for the evaluation of Deltek Vision. Jewell & Associates’ consultants met with the company Principals and Accounting team to identify the pains within the company and helped them understand how Vision could help them meet their goals of increasing project profitability and employee utilization, as well as integrate all of their separate databases into a single integrated database.
After product evaluations were completed, REPSG determined that Deltek Vision was the best product to help them achieve their short and long term business objectives. RESPG decided to implement the full suite of Deltek Vision modules including Accounting, Billing, Timesheets, Expenses, CRM, Custom and Govt. Proposals, Resource Planning and Purchasing.
The company approached their implementation strategically and formed a team so all departments needs would be met. “By bringing together all stakeholders to outline their needs, we were assured that Deltek Vision would accomplish our goals,” said Jennifer Mapp, Vision Database Administrator. “Our process for a smooth implementation resulted from doing extensive testing before going live.”
The implementation was done jointly with REPSG staff and Jewell & Associates. “There were certain areas of Vision where we lacked the expertise to implement so we partnered with Jewell & Associates,” said Jim Swiniuch, CFO. “I would recommend having an expert resource to help with implementation so the process goes as planned. Additionally, Jewell & Associates hosts User Groups, webinars and other events that help their clients to be successful. They are a partner not just a software vendor.”
REPSG has been using Deltek Vision since July 2006 and continues to implement new functionality. All areas of the company have received tremendous benefits from using Vision and the return on product investment is impressive. The billing process has been drastically streamlined. With MAS 90, one bill took on average one hour to generate with all required back-up data. With Vision, a bill is produced on average in twenty minutes reducing time spent on billing by at least 50%.
The average age of receivables has decreased 75% from October 2006 (implementation) through February 2009 due to more efficient billing, accounts receivable statement reporting and the ability for project managers to access customer information quickly. Cash flow has greatly improved for the company.
REPSG has received substantial time saving benefits by reducing payroll processing from on average 6 hours per week to 1 hour per week. This time savings equates to gaining 260 employee hours or 6 ½ weeks per year to equal a return on investment of $5,200 per year.
The use of Deltek Vision has provided business intelligence that was not available previously. Project managers can now access and analyze project information. Robust reporting tools have allowed information to be pushed to key personnel via dashboards. Business development efforts are efficient since activities, leads and opportunities are tracked in Vision. And, the dashboards have let REPSG “Go Green” internally.
